In CRM, there are many different screens with the same filter/search/navigation options. The below tips can be used in Accounts, Contacts, Quotes, Opportunities, etc.
First we need to use the menu to go to whatever view we are going to look at. I will use Opportunities below, but it works the same way in all the different entities.
Views
When you first navigate to Opportunities, you will see 1 of 25ish views. To select a different view, click the down arrow next to the Title of the current view:
If you find a view that you want to be your default, you can click the push-pin on the left side of the title. When the push-pin is diagonal, it is NOT your default view. When it is pointing left (like it is in the picture above), that IS your default view.
Search
There is a "Quick Find" bar in the top right.
You can search here, but the search will find ALL records that match your search.
- It will NOT obey any filters you have set. For example, if I had filtered my open opportunities to only show ones against the "John Wright TEST" account, the search is going to return results for ALL accounts (ignoring the filter).
- It will NOT obey whatever view you are searching from. For instance, if I search from the view "*My Open Opportunities" it is going to give me search results for the whole company and for both closed and open.
Filter
Filters let you find something using more detailed criteria than "Search" above. Filters also obey the selected view: when I filter from Open Opportunities, I will only get results that have an Open status.
I am going to use Accounts below... just to show how these methods work in different entities (Accounts, Contacts, Quotes, etc.)
-
Click the filter button:
-
Little down arrows will appear next to each column header. Click one and then choose "Custom Filter" from the drop down.
-
In the Custom Filter, you will likely want to use the dropdown and select "Contains." Then in the box to the left of the dropdown, you type the word you want the column to Contain. In the picture below, I am looking for accounts that have the word "Granite" in the Account Name.
-
You can filter further by selecting another column and repeating step 3. For instance, I could narrow my filter to focus on Accounts with "Granite" in the name and phone area code 806.
