We have received multiple requests for a report of when units were rented last. This data is to be used in an attempt to spread the rental usage between units or identify equipment that should be transferred to a different branch.
Before proceeding, there are multiple other metrics to use that accomplish the same goal.
- First, hour meters in ERP are a very easy way to see how much a unit has been used compared to similar units. This metric is a major part of the units resale value. This is the preferred method for spreading rental usage, because it tries to spread the on-time of the unit rather than the rent-time.
- Second, Utilization from BI tells us how much the unit has been on rent compared to similar units. This metric is most useful for identifying equipment that should be transferred to a different branch. If you do not have BI access, ask your Branch Manager, Department Manager, or TLT for an export of the report you need.
However, if you are set on using the Date Last Rented. You have two options for getting that data:
Report Server Method:

- Go to http://asco-1-ex-19/Reports/report/Rental/Last%20Rental%20Return%20by%20Equipment
- Select your branch at the top left.
- Click the "View Report" button in the top right.
ERP Method:

Go to "Rental Returns" session under "Rental - Delivery and Returns."
- Go to Actions -> Show All
- Filter, if you can
- Go to "Advanced Export"
- Select "Current Tab" in the "Fields" field, and click Export.
- Open the excel file.
- Enter "Manufacturer" in cell O1
- Delete any other columns that do not have a title (X, Z, AB and AQ)
Yes, you need to delete the last column, even though it is empty. - Go to Insert -> Pivot Table
- In the dialog, click "OK"
- Add "Unit No./Lot" to the Rows field and "Rental End Date" to the Values field.
- Click the down arrow next to "Count of Rental End Date" in the values field. From the menu that pops up, select "Value Field Settings."
- In the dialog that appears, select "Max" and then click "Number Format" in the bottom left.
- Click Date and then OK.
- Click OK
- Optional: you can add "Equipment" to the Rows field if you want to see the units by Model.
- Optional: if you did not filter the Rental Office before exporting, you can add "Rental Office" to the Filters field in the pivot table.
