There are several sessions that are helpful in tracking the history of a unit in ERP.
- All of these sessions can be opened individually, but It usually makes more sense to open them from Equipment Data. So, we will start there.
The menu path for Equipment Data is eXtend Equipment -> Equipment - Base Data -> Equipment Data - Once in Equipment Data, find the unit that you want to research and check the box on its left side:
- Click the Actions button (top center of the above photo).
- The sessions we are going to look at are Equipment Transfer Orders and Equipment Movement Memo:

Equipment Transfer Orders- lists all transfers from one branch to another, including transfers that are still in progress and transfers that have not been approved.
- When you click "Equipment Transfer Orders..." in the actions menu above, you will see a list of all transfers between branches. The list is filtered to the unit you selected.
- Most of the fields are self-explanatory. However, I will expand on "Status":
- "Open" means it has been entered, but has not been approved by the shipping or receiving branch's manager.
- "Pending for Approval" means the branch manager at the shipping branch needs to approve and "deliver" the transfer.
- "Approved" means it is ready to be shipped.
- "Delivered" means the shipping branch has shipped the unit. (this is one of the worst uses of english in the system).
- "Received" means the receiving branch's manager has acknowledged receipt of the unit.
- To see the dates that these statuses changed and other details, click the "zoom" button on the left side:
- To see what all was included in the transfer, you can go to Actions -> Order Lines
- When you click "Equipment Transfer Orders..." in the actions menu above, you will see a list of all transfers between branches. The list is filtered to the unit you selected.

Equipment Movement Memo - lists all movement of equipment, not just internal movement. It includes delivery and return of a unit for rental contracts, sales demos, transfers... basically anything that is not done "outside the system" (which should be nothing!)
- When you click "Equipment Movement Memo" in the Actions menu of Equipment Data, you will be taken to the Equipment Movement Memo session with a filter already applied limiting the lines to the unit you had selected in Equipment Data. The pictures below will be from a different unit to show more types of movement.
- There are a lot of useful columns in this session, but the three that will really give you your bearings are
- Purpose of Movement - this will tell you if the movement was for acquisition, a rental contract, a demo, a transfer, a service, or a sale. There are other options, but they aren't used so far.
- Movement Date - self explanatory
- Movement Type - this tells you which direction the unit is moving: into the branch our out of the branch. Note: in a transfer order, two Movement Memos are created: one for the shipping branch and one for the receiving branch. This "Movement Type" column tells you whether you are looking at the Outbound memo or the Inbound memo.
- Other information in this session includes:
- Make, Model, and Serial
- To and From departments, branches, customers, and addresses
- Dates
- Hour meters
- the user that caused the Movement Memo
- Selecting the line and going to the Actions menu can take you to more details about the movement. For instance, if you select a movement line from a Transfer Order, the actions menu will have an option to take you to the Transfer Order.
- If you zoom into the Movement Memo (
), you can find a little bit more information such as "Special Instructions" and "Movement Cost"
- When you click "Equipment Movement Memo" in the Actions menu of Equipment Data, you will be taken to the Equipment Movement Memo session with a filter already applied limiting the lines to the unit you had selected in Equipment Data. The pictures below will be from a different unit to show more types of movement.

Finally, any of these sessions above might have text attached. If they have text attached, there will be a green checkbox in a column like "Text", "Delivery Text", or "Receipt Text." To access the text, click the notepad button in the top center (left of Actions button)
